Client Context

The client is a boutique criminal defense law firm serving clients exclusively in Washington, DC and Virginia. The firm handles time-sensitive matters, including DUI-related cases, and operates with a lean team where attorney availability and focus are critical. Clear communication, ethical boundaries, and responsiveness are central to how the firm serves its clients.
The Challenge

The firm had an existing chatbot, but it was creating inefficiency rather than clarity.
The chatbot did not filter inquiries based on the firm’s actual practice areas nor geographic coverage. Users were able to select states such as Florida and California, even though the firm only serves clients in Washington, DC and Virginia. This resulted in a high volume of inquiries the firm could not service, requiring unnecessary review and follow-up.
The information collected by the chatbot was not integrated with the firm’s CRM. Each inquiry generated a notification, but the data was not stored in a structured system, limiting follow-up consistency and visibility into intake patterns.

We began the engagement with a full assessment.
We reviewed how inquiries entered the firm, how jurisdiction and service fit should be determined, and where urgency required a different response path. Ethical boundaries were explicitly addressed to ensure the chatbot provided information, not legal advice, and that human judgment remained central.
THE RESULTS

Additional Revenue Stream.
An intentional “Other” service option was designed to capture off-scope inquiries rather than discard them. As a result, the firm gained insight into emerging demand and gained an additional revenue stream.
Effective Filtering and Service Distinction.
The chatbot was designed to restrict inquiries to Washington, DC and Virginia and clearly distinguish jurisdiction within the intake flow. As a result, only serviceable matters entered the system, protecting the attorney's inbox and eliminating time spent reviewing out-of-scope inquiries.
Structured intake questions aligned to practice areas.
Intake questions were designed around the firm's 3 specific practice areas to guide clients through relevant information and set expectations early. As a result, misaligned inquiries were reduced and clients gained clarity before any attorney time was required.
Automatic CRM integration for all inquiries.
The chatbot was integrated directly with the firm's CRM so every inquiry was captured automatically as a structured record. As a result, manual tracking was eliminated and follow-up became more consistent and reliable. Immediate assistance instructions and the correct contact number were embedded directly into the chat experience for urgent matters.
Automated text and email responses for high-urgency inquiries.
High-urgency inquiries triggered automated text and email responses outlining “what you need to know now”, “next steps”, and/or “timelines of events” while reinforcing that legal advice requires attorney involvement. As a result, urgent inquiries were acknowledged promptly without requiring constant attorney responses.

At 52, I found myself at a crossroads that millions of professionals are facing right now.
I was experienced. I was skilled. I had 27 years as a manager and consultant in the enterprise software industry, helping organizations transform through technology. But the world was changing faster than my employer was preparing me. AI was reshaping everything and I could feel it.
I had a choice. Wait to be left behind or bet on myself.
I chose myself.
I left corporate and did what I had always done best. I applied my decades of software consulting expertise to the AI space, translating complex technology into real business solutions. This transition was extremely natural. AI transformation is still transformation and that has always been my sweet spot.
